Legal Assistant Vacancy - Reading Office

Rowberry Morris is looking for an experienced Legal Assistant to join our Reading office.


  • Computer skills including using Microsoft Windows/Word, any experience using case management systems would be advantageous
  • Ability to prioritise work, function efficiently under pressure and remain calm and professional
  • Ability to work to set deadlines and produce accurate work
  • File management skills
  • Diarising key dates/actions is vital and ensuring they are followed up to satisfactory completion of the date/action
  • Ability to demonstrate and implement initiative when working on files
  • Enthusiasm and a positive “can do” attitude, with a willingness to continued learning and development   

Duties include:

  • Preparation of correspondence and documents using audio word processing and digital dictation
  • Opening files, conflict checks, and closing files
  • Making appointments, arranging meetings and maintaining diaries
  • Supporting departments and junior secretaries
  • Assisting accounts staff in generating bills in a timely manner and monitoring payment
  • Preparation and dispatch of post, emails and faxes with relevant enclosures
  • Assisting fee earners with post-exchange, pre-completion, completion and post-completion matters on residential and commercial property files, including but not limited to the following:
  • Sending out exchanged Contracts on residential and commercial property matters.
  • Ordering OS1 and OS2 searches and reporting any issues to the fee earners.
  • Carrying out bankruptcy searches and flagging any issues to the fee earners.
  • Preparing completion statements on a range of residential and commercial matters.
  • Issuing and serving notice on Managing Agents, Landlords and Management Company’s.
  • Managing completions and informing clients, agents and solicitors once completion has taken place.
  • Putting various indemnity policies on risk and sending to clients following completion.
  • Dealing with client balances and returning funds to client.
  • Preparing account forms to send payments such as purchase funds, agents’ invoices, stamp duty and land tax.
  • Dealing with registrations of residential and commercial property files at the Land Registry. 
  • Dealing with any incoming requisitions from the Land Registry.

Legal Cashier (Maternity cover) - Reading Office

We are seeking a Legal Cashier to assist with Maternity cover, the position will be based in our Reading office.

Responsibilities will include – but will not be limited to:

  • Processing Client billing
  • Completion Statement Checking
  • Bank and Ledger Reconciliations
  • Monitoring and allocating electronic receipts
  • Good knowledge of property transactions and full completion process
  • Invoice Checking
  • Payment Inputting/Checking and Authorising (Online banking system)

Receptionist - Reading Office

We are seeking a Receptionist to join us on a permanent basis, this position is based in our Reading office. You will be the first point of contact for the whole office. The ideal candidate will be friendly, accurate and professional with strong administration skills and will have previously worked within a busy administrative role.

Main responsibilities will include:

Covering the Reception area:

  • Ensuring the reception area is always manned
  • Maintain a tidy and professional reception area

Archive Process:

  • Updating the office archive spreadsheet and managing archive files.
  • Requesting files from storage and overseeing the file is received by the correct person and returned within a timely manner.
  • Liaising with the Practice Manager for all archiving projects

Operating Switchboard:

  • Responsible for answering all incoming calls and directing them to the appropriate person/department.
  • When answering calls or when clients come into the legal office, you will take detailed, informative messages and give them to the appropriate person.

Schedule Appointments:

  • Schedule appointments for lawyers, paralegals and book meetings of all types using the central office calendar

Sort Mail and Receive Packages:

  • All incoming mail and packages delivered are scanned and passed on to the relevant departments
  • Franking post / Post office visits daily (Training Available)

Administration Duties:

  • Complete many general office tasks, including copying, filing, typing, and faxing various documents at the request of lawyers and paralegals.
  • Monitoring office supplies used by the staff, ordering new items as necessary.

You must show evidence of the following skills:

  • Good working Knowledge of IT Systems – Windows based applications
  • Excellent communication skills – Via telephone, email, and word processing
  • Ability to prioritise workload and pay attention to detail
  • Teamwork is essential with this role, as you will be talking to people from all levels
